Rollover troubleshooting
Below are the most common issues you may encounter during the rollover process, along with steps to help identify the cause and fix the problem quickly.
Using external exports
If you have a large number of students to roll over, using exports from your school's Information System may assist with populating the file in bulk, but also may cause errors in the rollover process. Specifically, the rollover process relies on matching existing student account information. For example, IDs must match what is on the system.

If the IDs in your Student Information System are different to the ones on Essential Assessment, you won't be able to rely on copy and pasting an export from your Student Information System into file.
If first and last names also don't match Essential Assessment, the system may spend too much time doing overtime match student accounts, and can also create errors or slow loading speeds.
Incorrect formatting
The file as it is downloaded on Essential Assessment must be uploaded back onto the system including all of original columns/fields.

If you have information in another spreadsheet, you can copy it across into the corresponding column.
Deleting or creating any new columns will result in an error message.

If you have altered the file significantly, you will need to download a fresh copy from Essential Assessment to proceed.
Number of purchased students
Rolling over student accounts into 2025 will bring your number of enrolled students up for each student. If the cap is reached for your purchased students, you will need to contact us on info@essentialassessment.com.au to organise the subscription to be updated.
Missing IDs
Student accounts are required to include a student ID upon account creation. As a result, students without an ID attached cannot be rolled over through the bulk upload.

Adding student IDs when missing
Any students with a missing student ID on their profile have to be rolled over manually. You cannot update student IDs through the rollover spreadsheet. If a student is missing an ID, they need to be rolled over manually.
Once students are rolled over, you can edit their details to contain up-to-date student IDs.
Other Possible Troubleshooting Causes
- Password-protected files cannot be accepted.
- Only the first sheet of a file is analysed—data on additional tabs will not be processed.
- Unsupported formats, corrupted files, or files with macros may cause upload failures.
